Terms of Service

Refunds, chargebacks & fee transparency · Last updated August 2026

The short version

  • We are the software, not the tournament. Refunds and cancellations are between you and the tournament director or coach.
  • Fraudulent chargebacks are reimbursed to DiamondLogix LLC by the organizer or team manager, including processing fees.
  • The $4 Platform & Technology Fee is always shown before you pay and is non-refundable, even for a rainout.

1. Software Provider Only

DiamondLogix is a software platform. We provide registration, scheduling, roster, streaming and payment-facilitation tools to independent tournament directors, organizations, teams and coaches (“Organizers”). We do not host, sanction, officiate, staff, insure or operate any tournament, game, practice, tryout or facility booking listed on the platform.

Any agreement to play, attend, travel, field a team or provide a service is formed directly between the purchaser (parent, guardian, coach or team manager) and the Organizer. DiamondLogix is not a party to that agreement.

2. Pass-Through Refund Clause

All refund policies, credits, transfers, rain-out and weather policies, event cancellations, rescheduling, field changes, forfeitures, roster disputes and registration disputes are strictly between the purchaser and the Organizer. The Organizer sets and enforces its own refund policy.

DiamondLogix does not issue, guarantee, arbitrate or fund refunds on an Organizer’s behalf, and has no obligation to reverse a completed transaction. Purchasers must direct all refund requests to the Organizer who collected the payment. Organizers are solely responsible for honoring their published policies and for any amounts owed to purchasers.

If an Organizer instructs us to refund a payment, we may process that refund as a technical convenience only, using the Organizer’s own funds, less the non-refundable Software Platform Fee described in Section 4.

3. Chargeback Indemnification

Payment card disputes (“chargebacks”) initiated against a transaction processed through the platform are resolved between the purchaser, the card issuer and the Organizer that received the funds.

If a user initiates a fraudulent, bad-faith or otherwise unwarranted chargeback, the applicable tournament organizer, team manager, coach or account owner agrees to reimburse DiamondLogix LLC for the full chargeback amount, any dispute or processing fees assessed by our payment processor, and any resulting negative balance, fines or reserve requirements.

The Organizer further agrees to indemnify and hold harmless DiamondLogix LLC from any claim, loss, penalty or reasonable cost (including collection and legal fees) arising out of a chargeback, a failure to honor a refund policy, or a dispute over an event the Organizer operated. We may recover these amounts by offsetting future payouts or charging the payment method on file.

4. Platform Fee and Non-Refundability

All transactions processed through DiamondLogix are subject to a $4 non-refundable Platform & Technology Fee, which is paid by the purchaser at the time of checkout. This fee covers the digital infrastructure, security, and hosting required to process the registration.

In the event that a tournament, game, or season is canceled, rescheduled, or refunded by the tournament director or coach, the $4 Software Platform Fee remains entirely non-refundable to the purchaser, as the digital transaction service was successfully completed at the time of purchase.

The fee is a charge for DiamondLogix software services. It is not a credit card surcharge and is not a fee assessed by any card network or payment processor. It is itemized and disclosed on the checkout screen before payment is authorized, and it appears as a separate line item on every receipt.

5. Price Transparency

Before a purchaser authorizes payment, the checkout screen itemizes the Organizer’s entry or registration amount, the Platform & Technology Fee, and the resulting total. No fee is added after the payment step, and no amount is charged that was not shown in that breakdown.

The same itemized breakdown is reproduced on the downloadable receipt so purchasers and Organizers have a permanent record of what was collected and by whom.

6. User Content, Licensing & Aggregated Stats

You retain ownership of the content you upload to DiamondLogix — rosters, photos, game film, clips, scorebooks, practice plans, notes and messages (“User Content”). We claim no ownership of your User Content.

By uploading User Content you grant DiamondLogix LLC a worldwide, non-exclusive, royalty-free, sublicensable license to host, store, encode, reproduce, transmit, display and distribute that content solely to operate, secure, support and improve the platform, including delivering it to the teams, parents and organizers you shared it with. This license ends when you delete the content, except for backup copies that expire on our normal retention cycle.

You warrant that you hold the rights to everything you upload, and that for any content depicting a minor you have obtained verifiable parental or guardian consent for that use.

You permit DiamondLogix to aggregate, de-identify and anonymize gameplay data — pitch counts, innings, box-score results, velocity, attendance and similar statistics — to produce leaderboards, benchmarks, division averages, product analytics and aggregate research. Aggregated output must not identify an individual minor, and we do not publish individually identifying statistics for players under 13 outside the team and family that own them.

7. COPPA & Minor Privacy Compliance

DiamondLogix is used by youth baseball organizations, so minors appear throughout the platform. An account for a child under 13 may not be created or operated by the child. It must be created and managed by a verified parent or legal guardian, who supplies verifiable parental consent through our consent flow before any personal information about the child is collected or used.

Data we collect about a youth player is limited to what a team needs to field a roster: first name and last-name initial, birth year, league age, age division, positions, jersey number, gameplay statistics and pitch counts, availability responses, and — only with the separate likeness consent — game clips and photos in which the child is tagged.

We do not sell, rent, license or otherwise disclose a minor's personal information to third-party advertisers, data brokers, recruiting aggregators or marketing networks, and we do not serve behaviorally targeted advertising to minors. Minor data is shared only with the parent or guardian, the verified coaches and organizations that the parent authorized, and the infrastructure vendors required to run the service.

A parent or guardian may review their child's record, revoke likeness consent, remove a clip tag, or exercise the right to erasure at any time from the Parent Dashboard. Erasure permanently deletes the player record, every tag linking the child to team video, and any video where the child was the only tagged subject. Coaches may not re-add a child whose consent has been revoked without a fresh parental approval.

8. Subscriptions, Auto-Renewal & Cancellation

Paid plans are subscriptions that renew automatically at the end of each billing period — monthly or annually, as selected at purchase — at the then-current rate, using the payment method on file, until you cancel. We notify you of any price change before it takes effect on a renewal.

All sales are final. Subscription payments, including a renewal you did not intend, are non-refundable and are not prorated. When you cancel, your paid access continues through the end of the billing cycle you already paid for, and no further charge is made. Cancelling mid-cycle does not generate a partial credit or refund.

When a paid team account lapses or is canceled, the account moves to a read-only archived state. Rosters, schedules, statistics and documents are retained for 90 days so you can export them or reactivate. After 90 days archived team data, including uploaded video, may be permanently deleted. Parent-initiated erasure requests and minor-data deletions are honored immediately and are not subject to the 90-day archive window.

The $4 Platform & Technology Fee on individual transactions remains non-refundable as described in Section 4.

9. Data Scraping, Extraction & Prohibited Automated Access

You agree not to use any automated system, including without limitation “robots,” “spiders,” “offline readers,” or “data scrapers,” to access, crawl, scrape, or monitor the Platform or any content, player statistics, schedules, or user data contained therein. You may not copy, reproduce, distribute, or extract data from DiamondLogix by any automated means without our explicit prior written consent.

We reserve the right to immediately terminate any account or block IP addresses engaging in unauthorized data extraction or attempting to bypass rate limits, and we reserve all rights to pursue legal remedies for damages resulting from unauthorized scraping or scouting aggregation.

Also prohibited: circumventing authentication, paywalls, token gating or rate limits; enumerating identifiers or share links; reverse-engineering our APIs for bulk retrieval; harvesting contact information for recruiting, marketing or resale; and reselling or republishing platform data as a competing directory or scouting database.

10. Acceptable Use, Account Ownership & Conduct

A team, organization or league administrator account is the property of the organization or league it represents, not of the individual coach, manager or volunteer who happens to hold the login. When a coach departs, is removed, or a season ends, the organization is entitled to control of the account, its roster data, its billing and its content. We will honor a documented ownership transfer request from an organization's authorized officer, and an individual may not withhold, delete or migrate organizational data as leverage.

Credentials are personal and may not be shared, sold or transferred. You are responsible for activity under your login.

Zero tolerance: harassment, bullying, hazing, threats, slurs or abuse directed at any player, parent, coach, umpire or staff member; sexualized or exploitative content involving a minor; doxxing; and impersonation. Any such account is terminated.

Zero tolerance for falsification: knowingly entering false statistics, pitch counts, innings, birth years, ages, league ages, roster eligibility, waivers or medical or insurance documentation. Age and pitch-count integrity protect children's health and the fairness of every bracket. Falsification results in removal of the record, forfeiture of standing, and termination of the account and any affiliated organization account.

We may suspend or terminate access immediately, with or without notice, for any violation of this section, and may report unlawful conduct to the appropriate authorities.

11. “As-Is” Service Disclaimer & Limitation of Liability

THE PLATFORM IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY AND NON-INFRINGEMENT.

We do not warrant that scorekeeping, box scores, statistics, pitch counts, eligibility or rest-day calculations, bracket seeding, standings, tie-breakers, weather alerts, schedules or notifications are accurate, complete, timely or uninterrupted. These outputs are informational aids entered by human users. The umpire, official scorekeeper, tournament director and league rulebook are the sole authority for any game result, eligibility ruling or pitching-limit determination.

Live streaming, video upload, encoding and playback are best-effort and depend on your device, camera, network and third-party infrastructure. We do not warrant that a stream will start, stay online, record, archive or be viewable, and we are not liable for a missed, dropped, degraded or unrecorded broadcast, or for lost or corrupted video.

To the maximum extent permitted by law, DiamondLogix LLC is not liable for injuries, property damage, travel or lodging costs, lost playing time, lost scholarship or recruiting opportunity, weather events, facility closures, officiating decisions, data entry errors, or any indirect, incidental, special, consequential, exemplary or punitive loss arising from the platform or from an event or service arranged through it. Our total aggregate liability for any claim is limited to the greater of the fees we actually collected from you in the 12 months before the claim or one hundred U.S. dollars ($100).

12. Binding Arbitration & Class-Action Waiver

PLEASE READ CAREFULLY — THIS SECTION AFFECTS YOUR LEGAL RIGHTS. Except for small-claims matters and requests for injunctive relief to protect intellectual property or stop unauthorized scraping, any dispute, claim or controversy arising out of or relating to these Terms or your use of DiamondLogix will be resolved exclusively by final and binding individual arbitration, and not in court before a judge or jury.

Arbitration is administered by the American Arbitration Association under its Consumer Arbitration Rules, before a single arbitrator, seated in the county of DiamondLogix LLC's principal place of business or conducted remotely by agreement. The arbitrator decides all issues, including the scope and enforceability of this section. Judgment on the award may be entered in any court of competent jurisdiction.

YOU AND DIAMONDLOGIX LLC EACH WAIVE THE RIGHT TO A TRIAL BY JURY AND THE RIGHT TO PARTICIPATE IN A CLASS, COLLECTIVE, CONSOLIDATED OR REPRESENTATIVE ACTION. Claims may be brought only in an individual capacity, and the arbitrator may not consolidate claims or preside over any form of class proceeding. If the class-action waiver is found unenforceable as to a particular claim, that claim proceeds in court and the remainder of this section still governs all other claims.

You may reject this arbitration agreement by sending written notice to our support contact within 30 days of first accepting these Terms. Otherwise these Terms are governed by the laws of the State of Florida, without regard to its conflict-of-laws rules.
