The short version

  • Accounts for kids under 13 are created and controlled by a verified parent.
  • We never sell minor data to advertisers, brokers or recruiting aggregators.
  • Stats consent and video-likeness consent are two separate checkboxes.
  • Parents can remove a clip tag or permanently erase a profile at any time — including any video where their child was the only subject.

1. Who This Covers

DiamondLogix LLC (“DiamondLogix,” “we”) provides software for travel baseball teams, tournament directors, coaches, parents and players. This policy explains what we collect, why we collect it, who sees it, how long we keep it and how you delete it.

Because our users include youth athletes, this policy is written to comply with the Children's Online Privacy Protection Act (COPPA) and applicable state youth-privacy laws. Where an organization or league uses DiamondLogix to manage its roster, we act as a service provider to that organization for the data it enters.

2. What We Collect

Account data: name, email address, role (coach, tournament director, parent, player), organization or team name, and authentication metadata. Passwords are handled by our authentication provider and are never visible to us.

Player data: first name and last-name initial, birth year, league age, age division, positions, jersey number, bats/throws, county or region, and parent contact details supplied by the parent or by a coach through an invitation the parent must approve.

Gameplay data: lineups, box-score results, pitch counts, innings pitched, rest-day status, velocity readings, attendance and availability responses, scouting notes and practice plans.

Media: game film, clips and photos uploaded by verified coaches, plus the player tags applied to them. Media is stored in private storage and served only through short-lived signed links that expire after one hour.

Payments: amounts, line items, receipts, subscription status and processor references. Full card numbers are handled by our payment processor and never reach our servers.

Technical data: device and browser type, IP address, timestamps, error reports and product usage events used for security, abuse prevention, rate limiting and reliability.

3. Children Under 13 — Verified Parental Consent

A child under 13 may not create or operate a DiamondLogix account. Accounts for minors under 13 must be created and managed by a verified parent or legal guardian.

Before a youth player's information is used, the parent or guardian completes our consent flow and affirms two separate consents: (a) collection of the child's age, division and baseball statistics, and (b) permission for verified coaches to upload game clips containing the child's likeness. Neither consent is bundled, and stats consent does not imply likeness consent.

When a coach initiates a guest-player invitation, the record is held in a PENDING state and no likeness or contact data is exposed until the parent receives the direct notice, creates or signs into an account, and approves. A declined invitation is recorded as REVOKED and the child's staged record is not used.

A parent or guardian may at any time review the data held about their child, revoke consent, remove a clip tag, or delete the profile outright from the Parent Dashboard. We honor these requests immediately and do not require coach or league approval.

4. We Do Not Sell Minor Data

We do not sell, rent, license, trade or otherwise disclose a minor's personal information to third-party advertisers, ad networks, data brokers, recruiting services or scouting aggregators. We do not run behaviorally targeted advertising to minors, and we do not build advertising profiles from youth gameplay data.

We never condition a child's participation in a team activity on the disclosure of more personal information than is reasonably necessary to field a roster.

5. How We Use Data

To operate the features you use: rosters, schedules, lineups, pitch-count and eligibility tracking, availability polls, brackets and seeding, facility booking, messaging, streaming and payments.

To secure the platform: authentication, fraud and abuse detection, rate limiting, and blocking automated scraping.

To support you: responding to requests and diagnosing errors you report.

To produce aggregated, de-identified insights — leaderboards, division benchmarks, product analytics and research. Aggregated output is stripped of identifiers and is not used to identify an individual minor, and we do not publish individually identifying statistics for players under 13 outside the team and family that own them.

6. Who Sees It

Your team: the coaches, staff and organization administrators you or your parent authorized, limited to the roster they manage.

Parents and guardians: their own children's records, plus any clip their child is tagged in.

Tournament directors: roster eligibility, check-in and compliance data for the events a team actually entered.

Guest-player contact details stay masked behind a token paywall. Name, phone, alternate phone and email are revealed only to a coach who spends a token for that specific profile, or to the account that owns the listing.

Vendors that run the service under contract: cloud hosting and database, video ingest and delivery, email delivery, and payment processing. They may use the data only to provide their service to us.

Law enforcement or regulators when legally compelled, and a successor entity in a merger or acquisition, in which case this policy or a policy at least as protective continues to apply.

7. Retention & Deletion

We keep data while your account is active. When a paid team account is canceled or lapses, its rosters, schedules, statistics and documents move to a read-only archive for 90 days so you can export or reactivate, after which archived data and uploaded video may be permanently deleted.

Parent-initiated erasure is immediate and is not subject to the archive window. Deleting a player profile performs a cascading hard delete: the player record is wiped, every tag linking the child to team video is removed, and any video where the child was the sole tagged subject is deleted from both the database and private storage.

Financial records for completed transactions are retained as long as tax and accounting law requires, and security logs are retained on a short rolling cycle for abuse prevention.

8. Your Rights & How to Use Them

You may access, correct, export or delete your data, withdraw a consent you previously granted, or ask us to stop processing. Parents may exercise these rights on behalf of a child.

Most rights are self-service: the Parent Dashboard covers review, tag removal and erasure, and account settings cover profile corrections and subscription changes. For anything else, contact the support address listed in Support & Guide and we will respond within 30 days.

We will not retaliate against a family for exercising a privacy right, and doing so does not affect a player's standing on a roster.

9. Security

Data is encrypted in transit and at rest. Access is enforced at the database layer with row-level security so a coach, parent or director can read only the records their role and relationship allow. Video lives in private storage and is reachable only through signed links that expire after one hour.

No system is perfectly secure. If a breach affects your personal information we will notify affected users and regulators as required by law.

10. Changes & Contact

If we make a material change to how we handle minor data, we will obtain fresh parental consent where the law requires it and will post the update here before it takes effect.
